Lead Interaction Time
Leads are a consumer looking for the product that you offer.
When you shop for a new watch, it's unlikely that you pick one and go straight to the purchase counter. You try a couple, see if they fit, look good, etc.
Online shopping for any product is the same.
It's likely they are looking in multiple places, to combat this, you need to be the first person to contact them.
If you are the first person, it's more likely they will trust you as a professional to provide them with the help they need.
Try to reach out within 5 minutes of receiving a lead.
Following Up Is Key
Leads won't always answer their phone and email.
In fact, most people don't answer their phone at all when it's from a number they don't recognize.
Research shows that it can take up to 12 touchpoints before reaching an inbound lead.
Be sure to call, email, text, and leave a message for leads multiple times until they answer.
Try to build up a relationship even if they aren't responding because at the end of the day, they don't know who you are and they do not have to respond to you.
If you deliver value to your lead and set yourself up as a resource for them, you will find sales.
Here are 5 tips for working call campaigns (live transfers & inbound calls)
You must answer the phone in a professional manner that gives the customer a sense of trust and reliability.
The lead just spent several minutes either researching products or connecting with a call center representative and providing their personal information.
You can answer the phone by saying, "Hello, this is [your name] from [business name], a licensed agent in [state], who am I speaking with today?" or something close to this.
Your Answer Rate Should Be High
It's critical to answer calls when your phone rings. If you're not available to take a call, be sure to pause your campaign.
When you miss calls, it negatively effects your ability to create consistent lead volume, the lead trying to connect with you, and other agents will get the call instead of YOU.
Establish A High-Level of Trust & Credibility
With inbound calls, you need to build trust with the consumer fast.
When you get connected, be sure to establish rapport, trust, and credibility.
Let the consumer know exactly what you do and the process over the next few minutes.
You should be able to build trust with the consumer in the first minute or two.
Follow Up Consistently
Don't get down if you provided a lead with a quote and it doesn't proceed to a sale, don't give up!
People get busy and forget, be sure to consistently reach out to them over the following weeks.
They spent time with you on the phone, so it's clear that they had some level of interest.
In fact, you may have to retrace and remind them of the problem they were trying to solve.
Many agents find that they close sales after following up 4 or more times, often weeks later.
So again, don't give in, and keep trying until you get a NO.
Don't Be Desperate For A Sale and Rush It
Unfortunately, agents will answer a live transfer or inbound call and immediately say "So, you're looking to buy insurance today, right?".
This will immediately shut down your customer 99% of the time and they will hang up or say they aren't interested.
You have to understand the consumer's perspective and talk about their problems and concerns first.
LeadStream is an all-in-one growth engine designed for insurance producers. It combines three massive pillars: a world-class Insurance CRM, a 3-click Ad Launcher (no tech skills required), and a 24/7 AI Appointment Setter. We provide the "factory" so you can generate your own exclusive leads at wholesale costs.
100%. Because you are running these ads from your own business page and Google Account, every lead generated is yours and yours alone. They are never shared, resold, or recycled.
Absolutely. Since you are "owning the factory," you have total control over where your ads appear. Whether you are a local agent who wants to dominate your backyard or a telesales powerhouse licensed in 20 states, the LeadStream Ad Launcher "Lead Portal" gives you surgical precision.
You can target your leads in three ways:
By Radius: Drop a pin on your office (or home) and target a specific mile radius (e.g., 25–50 miles). This is perfect for agents who prefer "kitchen table" appointments.
By Zip Code: Input a specific list of zip codes where you know the demographics are perfect for your product (especially useful for Medicare and ACA).
By State: Target one or multiple states. This is the "Elite" choice for telesales agents because it typically results in the lowest possible Cost Per Lead (CPL) by giving the algorithm a larger audience to find high-intent prospects.
The "Elite" Strategy:
Inside the LeadStream Ad Launcher "Lead Portal", you can adjust your territory in seconds. If one county is underperforming, you can swap it for another without needing to call a lead vendor or wait for a new "order" to be processed. Your lead flow is as flexible as your business needs it to be.
LeadStream replaces four separate expenses: a high-end CRM ($297/mo), an Ad Agency ($500–$1,000/mo), an AI Appointment Setter or Secretary ($2,000/mo), and lead vendor markups. By bundling these into one platform, we save the average agent over $1,500 in monthly overhead.
No. Your subscription covers the software, the AI, and the Blueprints. Your Ad Spend is paid directly to Meta or Google. This keeps your lead costs at wholesale rates and ensures total transparency—we never take a "cut" of your marketing budget.
No. You pay Meta (Facebook/Instagram) or Google directly. This ensures 100% transparency—you see exactly where every penny of your marketing budget is going.
We have specialized in compliant ad libraries and automation workflows for Medicare (Advantage, Supplement, T-65), Final Expense, Annuity, Life Insurance, and Health (ACA/U65).
Think of the Member Success Hub as your agency’s "Central Command Center." It is an ecosystem designed to ensure you never feel lost or stuck while building your lead factory.
Once you join LeadStream, the Success Hub becomes your home base for three specific things:
Platform Access: It provides one-click access to your LeadStream CRM dashboard and the 3-Click Ad Launcher, so you don't have to hunt for login links or bookmarks.
The Elite Training Vault: You get access to our exclusive Strategy Library. This includes "Masterclass" style tutorials on how to handle the leads you generate, how to optimize your AI settings, and niche-specific deep dives into Medicare, Final Expense, Annuity, Life Insurance, and ACA.
The "LeadStream" Difference: While other companies just give you a login and a "good luck," we provide the Success Hub to act as your partner.
Search for the LeadConnector app in the Apple App Store or Google Play Store. Use your LeadStream login credentials to access your unified inbox, sales pipelines, and AI conversations while you're in the field.
Most CRMs are "passive"—they just store data. LeadStream is "active"—it generates the data and books the appointments. If your current CRM isn't helping you find new business, it’s just an expensive digital filing cabinet.
Yes. Our blueprints are designed with the latest regulations in mind. Every lead generated through our system includes consent capture and disclaimers giving you a bulletproof audit trail of the prospect's consent to be contacted.
Yes. We utilize secure, encrypted data handling to ensure that all Protected Health Information (PHI) is managed according to industry standards.
That is your Automated Wallet Recharge. To prevent your ads from running without a "Digital Appointment Setter" to catch the leads, the system automatically tops up your communication credits when they hit a low threshold (usually $10). You can adjust these amounts in Settings > Billing.
The "Digital Appointment Setter" is your 24/7 assistant. The second a lead is generated, the AI engages them via SMS and email to qualify their intent and verify their needs. If they are a fit, it automatically places them on your calendar. It eliminates "speed-to-lead" issues entirely.
No long-term contracts. We operate on a month-to-month basis because we believe our system should earn your business every 30 days. You can cancel at any time.
This is usually a permissions issue. Go to your Settings > Integrations and ensure your Facebook Business account is connected. If it is, try "re-syncing" the connection. Remember, you must be an Admin of the Facebook Page for it to appear in the LeadStream Launcher.
Check two things immediately:
The Wallet: Ensure your Communication Wallet has a positive balance. If the balance is $0, the system cannot send the outgoing SMS.
The Workflow: Ensure the "Lead Intent" workflow is switched to Published (not Draft). If both are fine, check the "Conversation" tab to see if the lead provided a valid mobile number.
Absolutely. LeadStream is a "Human-in-the-loop" system. If you see the AI struggling or if you want to take over the close, simply type a message in the Conversation Tab. The AI will automatically detect that a human has entered the chat and will stand down so you can take the lead.
To keep your monthly subscription low, we provide all communication costs at low flat rates. Think of it like a cell phone plan: $349/mo covers the "phone" and the "apps." aka the CRM. Your "minutes and texts" are billed separately based on usage of the system.
We start every account with a $25 Starter Credit and include a $25 Monthly Communication Credit that rolls over unused credits in your plan to help offset costs. LeadStream includes advanced tools like Email Verification, Content AI, and Premium Automations. These are billed at the same utility rates as our standard communications. Because these costs are fractions of a cent, most agents find that their included $25 monthly credit covers these features entirely.
Because LeadStream allows you to buy your ads at wholesale rates directly from Meta or Google, you aren’t paying a vendor’s 300% markup. Your costs will vary based on your specific territory and daily budget, but based on our Benchmarks, here is what our high-producing agents are seeing:
Final Expense: $8 – $18 per exclusive lead on average.
Health (ACA) & Medicare: $11 – $19 per exclusive lead on average.
Life Insurance (Term, IUL, Mortgage Protection): $15 – $35 per exclusive lead on average.
Annuities (Retirement & Safe Money): $40 – $100+ per exclusive lead on average.
Annuity and IUL leads are high-ticket "whales." While the cost per lead is higher than a Final Expense lead, the ROI is often significantly larger. Even at $100 for an exclusive Annuity lead, you are paying a fraction of the $300+ price tag lead vendors charge for the same data.
Regardless of the niche, you are cutting out the middleman. You pay exactly what the platforms charge to generate the lead.
Absolutely. You have 100% control over the "Lead Factory" at all times. Whether you’re heading out on vacation, taking a holiday, or your calendar is simply so full that you can’t keep up with the volume, you can stop the flow instantly.
How to do it: Simply go to the Ad Launcher tab inside your LeadStream CRM. You’ll see a toggle switch next to your active campaign. Flip it to "Paused," and Meta/Google will stop spending your budget immediately.
The "Elite" Strategy: While you can pause and resume whenever you like, we recommend avoiding "micromanaging" the toggle. Frequent stopping and starting can reset the Meta and Google "Learning Phase," which is the time the algorithm takes to find your cheapest leads.
Pro-Tip: If you just want to slow down the lead flow without resetting the algorithm, try lowering your Daily Budget first instead of pausing the ad entirely. This keeps the "engine" warm while giving you some breathing room.
After your A2P or Toll-Free Approval, Most agents are fully onboarded and have their first ad campaign live within 24 to 48 hours.
No. Lead vendors "rent" you names at a 300% markup. We are a software and strategy partner. We provide the proven ad blueprints and the technology to run them so that you own the data, the brand, and the profit margins.
Actually, it’s the best way for a new agent to start. It prevents you from wasting thousands of dollars on "bad data" and helps you build your own brand from day one. If you can click a mouse, you can run this system.
It’s a great question. While many agencies "resell" GoHighLevel, most of them just give you a "Snapshot" (a pre-built template) and wish you luck. At LeadStream, we’ve taken the GHL engine and completely rebuilt it into a Insurance Growth Engine.
Here are the four pillars that separate us from a standard "GHL Reseller":
1. The Integrated Ad Launcher (The "Factory")
Most GHL agencies require you to be a Facebook Ads expert or pay them an additional $1,000+/mo to manage your ads. With LeadStream, we’ve integrated wholesale ad technology directly into the dashboard. You can launch proven, niche-specific Medicare, FE, Annuity, Life Insurance, or ACA ads in 3 clicks without ever leaving the CRM. We provide the "Lead Factory"; they just provide the "Filing Cabinet."
2. Built-In Compliance
Insurance is a highly regulated industry. Our templates and workflows are built specifically for insurance producers, ensuring every lead you generate has a bulletproof audit trail to protect your license.
3. The "Insurance-First" AI Assistant
Standard GHL setups have basic "if/then" automations. Our Digital Appointment Setter is trained specifically on insurance logic. It knows how to check a Medicare prospect versus a Final Expense lead's intent. It doesn't just send "automated texts"; it has intelligent conversations designed to verify intent and book confirmed appointments on your calendar.
4. Wholesale Transparency & The "Pit Crew Support"
Many agencies hide their "Utility" costs we offer 100% Transparency. You pay Meta/Google directly for your ads. Plus, you get our 24/7 CRM Tech Support—a team that understands the software in and out.
The Bottom Line:
Most agencies sell you a CRM (Passive). We provide a Growth Engine (Active). If your current CRM isn't generating leads and booking your calendar, it’s just an expensive digital filing cabinet. LeadStream is the "Operating System" for the top 10% of insurance producers.
Not at all. Our "Ad Launcher" is a 3-click system. You simply select a proven blueprint from our library, set your daily budget, and hit launch. The software handles the technical setup, targeting, and lead-form creation automatically.
Members get "Pit Crew" support. This includes a 1HR White-Glove tech call to help you set up, a 1 HR Training call to help you get familiar with core functions of the CRM, access to our 600+ article help library, and 24/7 live technical chat inside the CRM.
We recommend letting an ad run for at least 72 hours before making a decision. Meta’s algorithm needs a "Learning Phase" to find your ideal audience. If your CPL is still high after 3 days, try launching a different Blueprint template from the library to see which "Hook" resonates better in your specific territory.
Yes. While our blueprints are pre-calibrated for high conversion, you can adjust the "tone" and specific qualifying questions to match your agency’s sales process.
The system is set to auto-recharge (typically in $50 increments) to ensure your AI and SMS services never go offline. You can adjust these triggers in your billing settings.
Not at all. Meta (Facebook/Instagram) typically takes anywhere from 2 to 24 hours to review new insurance ads to ensure they meet their compliance standards. If your ad has been "In Review" for more than 24 hours, reach out via the support bubble inside the CRM, and we’ll take a look.
Don’t panic—it happens to the best of us. Usually, it’s a minor tweak needed for compliance (like avoiding "Personal Attributes" in the copy). Simply click into the Ad Launcher, select a different approved Blueprint from our library, and hit launch again. Our templates are pre-vetted to minimize rejections.
Your AI follows your Calendar Settings. Go to Settings > Calendars and edit your "Availability." You can set your specific working hours, block out lunch breaks, and even set a "buffer" time between appointments so you never feel rushed.
This is almost always a "Lead Access" issue within Meta. Go to your Settings > Integrations > Facebook Form Fields Mapping and ensure the fields are mapped correctly. If they are, hit the "Refresh" button. Our system usually pulls leads in under 3 seconds once the mapping is live.
